{"id":11663,"date":"2022-10-07T14:27:30","date_gmt":"2022-10-07T19:27:30","guid":{"rendered":"https:\/\/globepm.ca\/admin-guide\/content-management\/how-to-use-the-available-units-form\/"},"modified":"2022-10-07T14:43:14","modified_gmt":"2022-10-07T19:43:14","slug":"how-to-use-the-available-units-form","status":"publish","type":"page","link":"https:\/\/globepm.ca\/fr\/admin-guide\/content-management\/how-to-use-the-available-units-form\/","title":{"rendered":"How to Use the Available Units Form"},"content":{"rendered":"\n<p>Recall that each unit stored in the website has an availability status, which is set to one of the following values:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Available<\/li><li>Application pending<\/li><li>Application accepted, but the new applicant hasn\u2019t moved in yet<\/li><li>Not available<\/li><\/ol>\n\n\n\n<p>To learn more about these statuses, please read <a href=\"\/how-to-handle-the-new-availability-status-field\">How to Handle the new Availability Status field<\/a>.<\/p>\n\n\n\n<p>How to use the form to add or edit a unit:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Select the apartment building the unit belongs to.<\/li><li>Enter the unit number of the unit you wish to add or edit.<ul><li>If the unit is already stored in the website, the relevant fields will  automatically populate in the form. It will also show a message informing the user that the form was automatically filled out.<ul><li>If the unit is <strong>Available<\/strong> or <strong>Not Available<\/strong>, it will say \"The form has been automatically populated with all known information for Unit #327.\"<\/li><li>If the unit is&nbsp;<strong>Application pending<\/strong>, it will say \"The form has been automatically populated with all known information for Unit #327. Note that an application has been submitted for this unit, but it is still pending approval.\"<\/li><li>If the unit is <strong>Application accepted, but the new applicant hasn\u2019t moved in yet<\/strong>, it will say \"The form has been automatically populated with all known information for Unit #327. Note that an application has already been accepted for this unit.\"<\/li><\/ul><\/li><\/ul><\/li><li>Fill out and\/or edit the fields as required.<ul><li>Note that if the website was already storing the unit so it already had a unit type set, you cannot edit the Unit Type field. If you try, you'll get an error message saying, \"Error: You don't have permission to edit a previously existing unit's Unit Type. Please contact a Globe administrator to help you with this request.\"<\/li><\/ul><\/li><li>Click \"Submit\" to save your changes.<ul><li>If the unit was NOT already stored in the website or if it was stored with the status <strong>Not Available<\/strong>, then you will be adding a new unit. Otherwise, you will be editing the existing unit.<\/li><li>The unit's availability status will automatically be set for the unit you've added\/edited when you click \"Submit\". Which status it's set to depends on the following:<ul><li>If the First Name field in the New Applicant section is filled out, then the unit's status will be set to <strong>Application Accepted, but the new applicant hasn\u2019t moved in yet<\/strong>.<\/li><li>If the First Name field in the New Applicant section is NOT filled out, then the unit's status will be set to <strong>Available<\/strong>.<\/li><\/ul><\/li><\/ul><\/li><li>Check to make sure the unit is showing everywhere correctly.<ul><li>If it should be showing in the Available Units table at the bottom of the page, is it?<ul><li>If the First Name field in the New Applicant section was NOT filled out when you submitted the form, then the unit should show in the table. Otherwise, it shouldn't.<\/li><\/ul><\/li><li>If it should be showing in the Vacancy Report that's generated when you click the \"View Building Report\" button, is it?<ul><li>If you don't see the unit in the Available Units table, but you can see it in the Vacancy Report, then this is because it is in the <strong>Application accepted, but the new applicant hasn\u2019t moved in yet<\/strong> status and the new tenant's occupancy date hasn't arrived yet.<\/li><\/ul><\/li><li>If it should be showing in the site's Find An Apartment page, is it?<ul><li>If the First Name field in the New Applicant section was NOT filled out when you submitted the form, then the unit should show in the table. Otherwise, it shouldn't.<\/li><\/ul><\/li><\/ul><\/li><\/ol>\n\n\n\n<p>How to use the form to delete a unit:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Select the apartment building the unit belongs to. This will cause the Available Units table at the bottom of the page to load the units in that building.<ul><li>Note that this table only shows units that have the&nbsp;<strong>Available<\/strong>&nbsp;or&nbsp;<strong>Application pending<\/strong>&nbsp;status; it does not show units that have the&nbsp;<strong>Application accepted, but the new applicant hasn\u2019t moved in yet<\/strong>&nbsp;or&nbsp;<strong>Not available<\/strong>&nbsp;status.<\/li><\/ul><\/li><li>Click the \"Delete\" button beside the unit you wish to delete in the table.<ul><li>Note that this doesn't actually delete the unit from the website. Instead, it will set the unit's availability status to <strong>Not Available<\/strong> so that it doesn't appear anywhere in the website, but it is still storing information such as the unit's square footage, whether it has a dishwasher, etc. so that the next time a user goes to add that same unit as an available unit, the form fields can automatically populate with that information.<\/li><\/ul><\/li><li>Make sure the unit is not showing up in the Available Units table, the Vacancy Report, or the site's Find An Apartment page.<\/li><\/ol>\n","protected":false},"excerpt":{"rendered":"<p>Recall that each unit stored in the website has an availability status, which is set to one of the following values: Available Application pending Application accepted, but the new applicant hasn\u2019t moved in yet Not available To learn more about these statuses, please read How to Handle the new Availability Status field.
